Microsoft Word is the most common document format for contracts, agreements, and forms — and most of them eventually need a signature. Whether you're signing an employment contract, approving a proposal, or completing a school form, adding an electronic signature to Word is straightforward once you know the methods.
Method 1: Insert a signature image (best results)
The most professional approach is to create a transparent PNG signature and insert it into Word:
- Create your signature using the signature generator — draw, type, or upload.
- Download as transparent PNG.
- In Word, go to Insert > Pictures > This Device.
- Select your signature file and insert it.
- Click the image, select Wrap Text > In Front of Text, then drag it to the signature line.
- Resize using corner handles to match the document's scale.
Method 2: Draw directly in Word
Word's freeform drawing tool lets you sketch a signature with your mouse or touchscreen:
- Go to Insert > Shapes and select Freeform: Scribble.
- Draw your signature in the document.
- Resize and reposition the drawn shape.
- Right-click and select Format Shape to change the line color (black or dark blue for professional use).
Method 3: Use Word's signature line feature
Word has a built-in signature line feature designed for formal documents:
- Place your cursor where you want the signature.
- Go to Insert > Signature Line.
- Enter the signer's name, title, and email (optional).
- Click OK — Word adds a signature line with an X mark.
This is useful for documents that need to be signed by someone else using a digital certificate, but it's less practical for adding your own image-based signature.
Tips for professional signatures in Word
- Always use transparent PNG: JPEGs create white boxes on colored backgrounds.
- Lock the signature: Right-click the image > Size and Position > check "Lock aspect ratio" to prevent accidental stretching.
- Save as PDF for sharing: After signing, save as PDF (File > Save As > PDF) to prevent the signature from being edited.
